Ink By Jen G: https://www.inkbyjeng.com/blog/dynamic-kanban-board-in-your-bullet-journal Go follow Claire and Jen, if you aren't already, because they are amazing! So what is a Kanban Board anyway? At the most basic level, Kanban Boards allow you to visualize and map your workflow for projects. The Kanban technique was first established by Toyota in the 1940s (Kanban is Japanese for "sign" or "billboard") and began with physical cards passed down the stream of manufacturing from one line worker to another.  The system is highly customizable and allows teams or individuals full freedom in creating a board that works for them and the types of projects they work on. All you have to do is figure out which steps are universal to all of your projects and lay those steps out in a notebook or on a whiteboard.  The simplest versions I've seen have three categories, Plan / Process / Complete (or To Do / Doing / Done).  I decided to add one more category and ended up with To Do / Plan / Progress / Implement, as these are the steps relevant to the types of projects I tackle at work.  The fun part is that you can split up your project into however many and whatever types of categories you like! Once you have your board set up all you need to do is write each project on it's own sticky note and place it on the board at the appropriate step in the process and move them as they progress to the next step.  This is a very effective tool for visual learners and can be very helpful is you have multiple projects on the go at a time or work with a team! It definitely has a sexy tone to it right? Project… I just love the way it sounds. I wonder how cool it must sound in French. Proje… Well, project is a temporary endeavor to create a unique solution. Yeah that’s operations. No Well, the difference between a project and operations is fairly simple. A project ends. So, it’s temporary. You implement your project, you close it, you create a unique product/service/ or whatever outcome you wanted then you are done. Whereas in operations, it’s on-going and repetitive. You may have also heard about the terms program and portfolio. Let me just quickly explain them here. Program is multiple projects put together. Combined. And Portfolio is similarly. Multiple programs put together. So, it’s project, program, portfolio. Now before I go further, and dive deep. You need to understand something crucial. To run any project, you need 2 methodologies. The first one is a project life cycle and the second one is project management process. Most people confuse these 2. And if these are not clear, you can kiss the PMP certification goodbye. It’s absolutely amazing how many content creators in YouTube confuse these two. They are not interchangeable. You cannot afford to confuse a project life cycle with a project management process. Don’t worry I am going to make it very simple for you. Let’s start with Project Life Cycle. Project Life Cycle is unique to a project, to an industry, to your needs. It’s highly customizable. Think of it like this; a human development is a project. So, your life cycle is; 1) Conceiving 2) Birth 3) Childhood 4) Teenage hood. Teenage hood. Is that a word? Teenaging? 5) Adulthood 6) And death Easy stuff right? So, now if it was an IT project. I am not an IT but it would like something like this; High-level design Detailed Design Coding Testing Installation And Turnover This is project life cycle. The term cycle is a bit confusing here. I think. But who knows. Every day is stressful because there's a ton of responsibility on your shoulders when you're in charge. And no matter how good the work is, people always remember that one little thing in the project that didn't go right. It's like they don't even notice the thousand things that DID work perfectly! When you manage a team of people like I do, there are hundreds of tasks that have to be completed for each project, and, honestly, it's impossible to keep track of them all. I'm constantly running around, chasing people down, trying to make sure they're all working on the right tasks. It's extremely stressful. I feel like I spend half my day saying "What are you working on?" to everyone in sight. And you wouldn't believe how many times when I do ask someone what they're working on, I find out that they're putting all their time into a low priority task -- which just wastes valuable time and leads to more delays in the project. It's frustrating. Sometimes I feel like I need to do everything myself. That's exactly why I have to make sure I'm checking up on the team all the time. I'd really prefer not to do it, because it's time-consuming for me and aggravating for them, especially since it interrupts their work. I have to admit that sometimes I feel lost. It's hard to keep track of so many tasks. I have times where I don't really know who's working on what. That can keep me up at night. Especially when we are close to a deadline. Next to "What are you working on?" the second question I catch myself asking people most is "When will it be done?" I have to run a super tight schedule, and I need to know whether or not the project is actually going according to plan. I'm constantly fielding phone calls and emails from clients wondering when the latest feature that they asked for will be ready. You've probably heard this phrase so many times from your clients: "I need an ETA", so for me to keep them up-to-date, I always have to be on top of the progress of the project. And if it's not running on schedule, then I need to have enough time to make changes to the project. There's no question, project managing is a high-stress job. But fortunately I finally got all that stress to go away when I discovered Elementool's Priority List feature. It gives me laser focused control over the projects and my team. I can define a unique priority level to each issue. That way I can make sure that people know exactly what to work on at any moment of the day. So I don't have to worry anymore that they're wasting time doing things they're not supposed to. Sometimes an urgent issue comes in and that means making changes to the project plan and having people stop what they're doing to move on to the new task. The Priority List allows me to makes those updates in just a few seconds on the team's work plan. I can also see at any given moment the progress of the tasks that each team member is working on, and the date that they'll be completed. In fact, you can wake me up in the middle of the night and I'll be able to tell you who's working on what. It's really brought back the feeling that I'm in control. Now I feel more confident that I can finish my projects on time. When I go home at the end of the day my mind is free and I can play with my little girl and not worry about work. I just love it! In 2002, Google ran an uncontrolled “experiment” by simply getting rid of all managers. It didn’t go well. So in 2008 a team of researchers set out to prove what some at Google suspected - that managers don’t matter. But very quickly the team discovered quite the opposite. Managers matter a lot. The research effort, called Project Oxygen, pivoted to figure out exactly what makes for a great manager at Google. The guiding question shifted from “Do managers matter?” to “What if every Googler had an awesome manager?” Project Oxygen identified a set of common behaviors among the best managers and those behaviors now guide management development programs. The team has been able to show an overall improvement in management at Google by helping managers get better at coaching, empowering teams, managing team energy, staying results-oriented, communicating, developing teams, and sharing a vision.

Project Management Presentations: How to Present a Project Plan

Read our project management guide: http://bit.ly/2e1tegp Presenting your project plan to a client can seem like a daunting thing, but it doesn’t have to. In this video, we show you some simple things you can do to make the project management presentation process nice and smooth for everyone. When you’re working on a project with a client or a product owner, it’s critical to be 100% sure they understand all the details your team has discussed. Your clients may not be familiar with your processes or deliverables so a project plan presentation is your chance to enlighten them. The more you can educate your clients early in the process, the easier time your team will have at winning them over when presenting your work. After all, a client who is invested in, and truly understands your work is not just a client—they’re a partner. Also, it’s never just about the work—it’s about the people doing the work. Be sure to communicate that the team has reviewed the project plan and mention some of the items you discussed and how you arrived at those decisions. There’s a lot of value in showing your clients the human side of your process and your team because it’s often easy for them to think of you as just a shop who just gets the work done. They don’t know all the details, and maybe they don’t want to, but if you share some details about who’s doing what and key things they’re working on, it’ll help them to relate to it a bit more. You’ve put a lot of work into creating this project plan, so talking through the details to make sure that everyone is comfortable with it should be pretty important to you. If this means giving your client and team some extra time to think things through on their own, that’s fine. Of course, you never want this process to take so much time that it delays any of the real project work. You can create the plan while work is underway—but don’t let it go unconfirmed for long. You want to be sure that you have an agreement because the details in your plan will dictate SO much, including your immediate next steps. The chances that you’ll have to make adjustments to your project timeline here or there are pretty significant. It’s uncommon for every project to stick to its plan 100%. Life happens, ideas change, deadlines are missed, and plans change. That may mean that your deadline has to shift, or maybe your process won’t work for this project anymore. As long as you’re flexible and can adapt to the revolving door of changes, so can your project plan. Be sure to give updates to your team and your clients as plans change, or stay on track, and keep your plan in an accessible place. You’ll always come out on top if you’ve communicated or resolved an issue early on, or even just paid a compliment on a job well done.

This ensures that you can analyze the work after completion of the project to see where you may improve on your process for future projects. As a project manager, you should never be afraid to ask questions to clarify what the customer wants or what the members of your project team may not completely understand. It is always better to know rather than to guess and risk the error. These are some key big-picture best practices to remember as a project manager, but project management in itself is a vast subject with many subsets of information specifically tailored to different types of projects.
